Cash audit in SAP®: Checklist for data retrieval

In one of our webinars, we asked the participants: "How do you stand in terms of KassenSichV-compliant data retrieval for cash register inspections or tax audits?" The result showed us that there is still a lot of need for information. Therefore, we offer you a small checklist as an indication of where you currently stand.

 

The doorbell rings and the tax authorities would like to see your cash register data. No problem, because your cash register provider has integrated a TSE and you have a lot of files on USB sticks and external hard drives that you can hand out? Oh haua ha... Unfortunately this has nothing to do with the audit-proof data archiving to do.

Furthermore, being able to name sums is not enough. There is an obligation to record every single business transaction. And that together with the corresponding TSE signature. You must prove through which systems the cash receipts have flowed, who has access to the files, that the archive is tamper-proof and much more. Also recording gaps or errors, e.g. caused by a system failure, have to be logged and explained.

KassenSichV checklist: Are you ready for a cash register inspection?

  1.  You have integrated a TSE and verified that signatures are correctly assigned to operations.
  2.  The original receipt (XML document) flows into your archive. However, you can also display it in readable form.
  3.  You can trace the path of the receipt to the FI document and easily show it to others.
  4.  If it is necessary to export data for a specific branch for a specific time period (including TSE signature and DSFinV-K files), you know exactly what to do.
  5. You have put a lot of effort into creating the mandatory procedural documentation. There, you have recorded which hardware and software is used, have dealt with the environmental protection and prove the purchase of a certified TSE.
  6. If system failures and overloads or software problems cause difficulties in recording without gaps, your system alerts you and you log the reason for missing evidence.
  7. You are already using software to simulate the audit case so that you don't get into trouble when it comes to the cash register inspection with AmadeusVerify and IDEA comes.
  8. If the tax authorities require Z1, Z2 or Z3 access to your cash register data, your archive provides this option.
